    Description :

    Provides administration, coordination, facilitation, office management support, and technical support for the team and its initiatives and projects that advance the mandate and interests of the FNHA. Participates in the development and implementation of plans, systems, processes and procedures essential for effective and efficient operations, as well as providing executive and administrative support. Provides secretariat services to a variety of regional committees including the Regional Caucus and the Regional Table. Liaises with the Regional Health Authority as required.

    * Provides administrative support to the Regional Director and Regional Manager (including calendar management, call screening, preparation of agendas, meeting packages and materials, travel arrangements), and coordination support and leadership for the Regional Team
    * Provides secretariat support to a variety of regional tables including the Regional Caucus and Regional Table, including preparation of agendas, meeting packages and materials, travel arrangements, logistic support at meetings, minute and decision note taking, etc.
    * Develops and maintains the Regional SharePoint site in collaboration with the Office of the COO and Communications
    * Develops and maintains regional databases in collaboration with Policy, Programs & Community Wellness Programs and the Office of the Chief Medical Officer and support to regional reporting, both internally and externally
    * Participates in developing, implementing and maintaining administrative systems, procedures, processes, and standards for the Regional Director and the Regional Team, including for matters such as budgets and finance, staff attendance, correspondence, issues tracking and management, templates, presentations, etc., in collaboration with colleagues and other FNHA departments as appropriate
    * Provides financial management support to the Regional Director, consistent with FNHA policies and procedures (including budget development support, implementation of monitoring and tracking processes, and review of monthly financial reports)
    * Coordinates, prepares, and reviews purchase requisitions, expense reports, and other financial claims
    * Coordinates and oversees the organization of functions, activities, meetings, presentations and events, including all associated logistics for the Regional Director and Regional team, in collaboration with colleagues and other FNHA departments as appropriate
    * Coordinates, develops, and distributes a wide variety of material using a variety of Microsoft Office products, including but not limited to agendas, pre-meeting material, and meeting kits
    * Provides facilitation, logistical, and technical support services to the organization, and its meetings, functions and conferences as required, including attendance, registration and similar supports, minute-taking, and meeting reports
    * Supports the development, implementation and maintenance of unit-wide plans, to support the effective and efficient running of the organization
    * Coordinates ongoing information-sharing internally and externally, including sharing appropriate information with various audiences and keeping the Regional team members informed of corporate news
    * Organizes, coordinates and provides logistical support to all Interior region entities
    * Act as a liaison between the region and FNHA central service departments to ensure communication and coordination
    * Performs other related duties as assigned Education

    * A certificate in business/office administration or an acceptable combination of education, training and experience Experience
    * Relevant, recent and significant experience in an administrative capacity, including provision of services to senior level staff processes (normally acquired over a period of 3-5 years)
    * Experience working with BC First Nations communities and/or organizations
    * Experience in budget oversight and management
    * Experience utilizing a variety of office tools including Microsoft Office suite and SharePoint
    * Experience handling sensitive and confidential information and matters in a trusted and responsible manner
    * Experience developing and maintain administrative systems, processes and procedures Knowledge
    * Knowledge of the FNHA, and it’s structure and inter-dependencies
    * Knowledge of the work of the Policy, Planning and Transformation team
    * Knowledge of information, records and data management approaches and options
